Part of Press release strategy from start to finish
Press release strategy: seven formats and the supporting material each needs
Press release strategy by release type: media advisories, data releases, product news, research, partnerships, appointments, and corrections, and what each needs.
What to take away
- Match the release form to the event and the audience's next action.
- An event advisory and a statistical release need very different supporting material.
Press release strategy examples are most useful when they show why the release exists, what the audience must do, which evidence supports it, and how updates are handled. The following seven patterns serve different jobs.
Choose the pattern that fits the event
Lead with
- Media advisory
- Event, time, access, and deadline
- Data release
- Main finding, period, and method
- Product news
- Concrete change and availability
- Research result
- Finding and study status
- Partnership
- Signed scope and audience effect
- Appointment
- Role, start date, and mandate
- Correction
- Wrong statement and accurate replacement
Supporting material
- Media advisory
- Participants, credentials, broadcast, contact
- Data release
- Tables, definitions, revisions, technical contact
- Product news
- Specifications, limits, price, support, images
- Research result
- Method, sample, uncertainty, paper, expert
- Partnership
- Roles, term, resources, and next milestone
- Appointment
- Relevant record and governance
- Correction
- Affected copies, date, cause, and contact
Choose by the audience action, not by the news size. If people must attend, use an advisory. If they must trust a number, use a data release. If they must buy or adopt, use product news. If they must accept a change, use a correction.
- Use an advisory for access and logistics
- Use a data release for findings and method
- Use direct notice before promotional product safety material
- Define signed scope in a partnership release
- State the mandate in a leadership release
- Use a correction to repair the source record
NASA's advisory for U.S. spacewalk 93 and its preview news conference identifies the event, mission work, participants, and coverage. It names the media response deadline, newsroom contacts, and dated editor's notes for schedule changes.
The page is an event-access example, not proof the same format fits a commercial launch. A commercial launch needs the same access details, so teams should review press release strategy questions before drafting the advisory.
The advisory puts logistics beside the news. A business event release should likewise specify whether media can attend remotely or in person, when registration closes, who can answer, what will stream, and how changes appear. If access is limited, state the basis and alternatives.
The Bureau of Labor Statistics' archived July 2025 Employment Situation release supplies a release time, subject contacts, headline findings, tables, survey explanations, definitions, and revision information. It is an official statistical product with established methods.
For a survey or company-data release, publish the population, collection period, sample or coverage, exclusions, definitions, weighting, uncertainty, sponsor, analysis owner, and prior revisions. Keep the data table and release together. A dramatic percentage without its denominator and baseline is not a usable finding.
Worked example: transferring Apple's quarterly release
Apple's quarterly earnings release is a public commercial data release. Its lead states the period, headline figures, and comparison basis. Its evidence list includes consolidated statements, segment tables, cash flow, and a dated call notice. Its update note records any restatement or changed call time.
Before: "Company reports results." After: "[Company] reports [quarter] revenue of [amount], [percent] versus the year-ago quarter, and will host a call at [time] on [date]."
Evidence list for transfer:
- Period and comparison basis
- Audited income statement and balance sheet
- Segment or product-line tables
- Definitions and prior-period revisions
- Named analyst contact and call access
Update note: "Updated [date]: [metric] revised from [old] to [new]. Cause: [reason]. Affected files: [list]. Contact: [name, role, email]."
Transfer steps for the Apple example:
- Open Apple's release and copy its section order, not its numbers.
- Replace the period, revenue, and percent with your own audited figures.
- Keep definitions and revision notes beside the data table.
- Test one failure casewhat if the prior period changes after publication?
Label the release unsuitable if you lack audited figures or a named contact.
Product news worked example: Lead: "[Company] opens [product] orders on [date] at [price]." Evidence list: specifications, availability date, price, support terms, warranty, images. Update note: "Updated [date]: ship date moved from [old] to [new]. Cause: [reason]. Affected pages: [list]."
Correction worked example: Lead: "On [date], [Company] said [wrong statement]. That was incorrect. " Evidence list: the original release, the affected file or page, the source of the error, the date of discovery, and the contact who can answer. Update note: "Corrected [date]: [wrong statement] replaced with [accurate statement]. Cause: [reason]. Affected copies: [list]. "
Do not use the NIST Privacy Framework starting guide or the W3C information and relationships explanation as release templates; keep the press release format focused on the event, evidence, and update.
Common questions
Can one release combine several patterns?
Yes, but one event and audience action should lead. Place secondary data, biographies, logistics, or background in clearly labeled sections or linked material.
Should a company copy a government release template?
No. Borrow useful controls such as dates, contacts, methods, updates, and source links while keeping the company's own audience, duties, and voice.
What is the best first example for a small business?
A concrete local event, verified data point, signed partnership, or product change with a clear customer effect is easier to support than broad company news.
