Part of Internal communications: a planning framework
Internal communications examples worth copying, and why
Internal communications examples from NASA, Shopify and the NHS show the format, the evidence and the feedback route that make each one work.
What to take away
- Copy the mechanism, not the wordingevery example below pairs a format with the evidence it produces.
- Pick the channel after you name the employee decision it has to move.
- Each pattern needs a named owner, a response route and a retirement date.
- Test the accessible version with the people and technology in scope before launch.
Internal communications examples are only useful when they show why a format fits the job. The five below are documented, named and copyable. Check employee rights, access needs and approval routes against your own organization before you lift anything.
NASA Ames: the hybrid town hall
NASA Ames ran a hybrid employee town hall, reported in its September-October 2024 Astrogram. The topic was organizational silence, and the agenda came from earlier workforce survey findings.
NASA Ames town hall mechanism
- Survey findings set the agenda
- In-person and online join equally
- Employees ask live questions
- Leaders respond to the data
The mechanism pairs survey evidence with live questions. In-person and online staff joined on the same footing, so employees could test whether leaders had heard the data.
One event does not create psychological safety, and the report does not claim it did. The example shows how to place leadership talk, employee evidence and a question route in one room.
Shopify: the meeting cut that made the memo credible
Shopify's internal meeting calculator became public in 2023. It cut recurring meetings and told staff to decline invitations without a clear agenda. The company published the reasoning behind the rule.

Does the invitation have a clear agenda?
accept the meeting
decline the invitation
The copyable tradeoff: removing something employees already resent buys attention for the next policy. Pair the announcement with the reason, and the rule reads less arbitrary. That logic fits any decision that costs people time.
The NHS: safety huddles that outlive the campaign
NHS trusts run safety huddles, short stand-up briefings at the start of a shift. Staff raise risks before work begins.
The format stays deliberately small and local, so a concern reaches a manager in minutes instead of a report in weeks. Huddles work because the feedback route is the meeting itself. There is no separate channel to remember.
Copy the cadence and the size, not the script. A huddle that runs long stops being a huddle.
Salesforce: V2MOM as a public decision record
Salesforce publishes its V2MOM planning format: vision, values, methods, obstacles and measures. Each employee writes one, and managers can read versions above and below them.
The internal communications value is that the decision record is already written down. When a priority changes, the document shows what changed and who owns it. Teams that adopt V2MOM get the announcement and its audit trail from the same artifact.
Buffer: default transparency with stated limits
Buffer publishes its salary formula and its transparency policy, including the categories it does not disclose. The stated limits are the interesting part.
A transparency commitment that names its own exceptions survives contact with a hard question. One that promises everything does not. Copy the structure: what is open, what is closed, and who decides which is which.
Turning a pattern into a local test
A pattern transfers only when you record the audience, the source data, the identity rule and the business constraint first. Replace the original figures with your own inputs and run one failure case before launch.
The NIST Privacy Framework starting guide offers a voluntary process for assigning data and response owners. Use it to name who holds employee data in each pattern. It is not legal clearance.
The W3C guidance on information and relationships says visual structure should also be available to assistive technology. Test the actual page with the users and technology in scope.
If a pattern depends on rights, staff or product functions you do not have, label it unsuitable instead of copying its visible result. Run the six-stage cycle behind internal communications improvement to see whether the pattern holds locally. The ownership and cadence questions that recur across teams sit in common internal communications questions.
Common questions
Which example should a small company start with?
Start with the recurring decision that creates the most costly confusion, delay or support demand. The NASA town hall suits organizations with survey data already in hand. The NHS huddle suits shift-based work where a concern needs a fast route to a manager.
Can one template cover every announcement?
No. Routine news, policy change, safety instruction and benefits choice differ in timing, evidence, access and review needs. Pick the pattern whose feedback route matches how fast the decision has to move.
How do you evaluate a copied example?
Define the employee action, the baseline, the access test and the review date before launch. Then check completion, questions raised and exceptions. Retire the pattern if it stops reducing a real failure.
